Frequently Used Reports

FeePay includes many useful report features that can be used to answer questions about individual payments and analyze budgets. Business managers, bookkeepers, and anyone else managing fees and activities will use one or more of these reports. The reports you see are based on your security group (rights) so you may not see every report shown. The reports can be downloaded as a PDF document or an Comma Separated Value (csv) file format for viewing as a spreadsheet (i.e. with Excel). You must currently log into FeePay Admin using Google Chrome as your browser if you need to download the csv file format.

Transaction Date Reports

The Transaction Date Report allows you to view transactions by the date it was processed. You can use the report for market research or to explain to a parent why a payment was made but their child was denied the service or product. The Transaction Date Summary by Institution and Transaction History Details by Transaction Date are available for Fees and Activities. Use the Transaction Date Summary by Institution for a daily total for the entire district. Use the Transaction History Details by Transaction Date to see the line items. You can use this report for auditing purposes.

Generate the Transaction Date Report

  1. Select Reports
  2. Select Advanced Financial Reports.
  3. Select Transaction Date Reports
  4. Enter the desired report date range.
  5. Select Fees & Activities for your payment category.
  6. Select the desired report and the icon for the format you wish to download (PDF or csv file).

Deposit Date Reports

Compare this report to your bank deposit for reconciliation. Most business managers and bookkeepers use the Deposit Date by Institution or Site. The Deposit Summary by Payment Category, Transaction History Details by Deposit Date, Estimated Deposit Dates by Institution, and Estimated Deposit Dates by Site are the available reports.

Generate a Deposit Date Report

  1. Select Reports
  2. Select Advanced Financial Reports.
  3. Select Deposit Date Reports
  4. Enter the desired report date range.
  5. Select Fees & Activities for your payment category.
  6. Select the desired report and the icon for the format you wish to download (PDF or csv file).

Returned ACH Report

Parents may call to ask why their child was denied an item or activity for which they paid. You can use this report to help answer those questions. Use it to look up items such as returned insufficient funds (NSF) items or transactions that had the wrong account information entered.

Generate the Returned ACH Report

  1. Select Reports
  2. Select Advanced Financial Reports.
  3. Select Miscellaneous Reports
  4. Enter the desired report date range.
  5. Select Fees & Activities for your payment category.
  6. Select the icon for the format you wish to download (PDF or csv file) the Return ACH Report.

Activity Enrollments Reports

Business managers, bookkeepers, and others handling Fees and Activities use this report to identify which students should receive an item like a yearbook or attend a field trip, or answer parent questions about payments. You can also use it to assist with general reporting for the current year’s budget, adjust the current year’s budget, or analyze the popularity of activities like football or theatre so that you can adjust the budget for the next year. The report also displays totals by Activity, by Payment Channel (web vs admin) and by payment type.  The General Admission report is also available but that feature of accepting payments using the General Admission mode is not frequently used.

Generate the Activity Enrollment Report

  1. Select Reports
  2. Select Fees & Activity Reports.
  3. Select the Date Type drop-down to create the report based on Transaction Date, Deposit Date or School Year. Note: If you are looking to get the amount for one or more activities, Transaction Date is generally used.
  4. Enter the desired report date range.
  5. Select Activity Enrollment Report.
  6. To report on a single activity, select the Category (and the optional Sub-category) or select a School along with the desired Activity from the drop-down options. To get the totals for all activities, leave these at the defaults.
  7. Select the icon for the format you wish to download (PDF or csv file) the Activity Enrollment report.

Fees Report

The Student Fees Report is associated with the Student ID that the fee was assessed to. It can be used to collect owed money for items like lost/ damaged books or mandatory field trips for which the student has paid.

Generate the Student Fees Report

  1. Select Reports
  2. Select Fees & Activity Reports.
  3. At the top, select the Date Type drop-down to create the report based on Transaction Date, Deposit Date or School Year.
  4. Enter the desired report date range.
  5. Select Student Fees Report
  6. Select the desired Fee Status to view (Paid, Unpaid or All)
  7. Select Payment Channel for where the payment was made (Web, Admin or All)
  8. If you are looking for only a specific Fee, enter a name in the text box. If left blank, the report will have all possibly fees that reflect the Status and Payment Channel that was requested.
  9. Select the icon for the format you wish to download (PDF or csv file) the Student Fees Report.

Account Code Report

The Account Code Report uses the general ledger account codes and is based on the Fees & Activities report; therefore, it is very similar to that report. It is tied to the funding accounts set up by each district
so you can use it to allocate the appropriate funds to the correct accounts.

Generate the Account Code Report

  1. Select Reports
  2. Select Account Code Report
  3. Select the Start and End Date
  4. If you are looking for only a specific School or Payment Channel for where the payment was made (Web, Admin or All), select those from the drop-down menu
  5. Select the icon for the format you wish to download (PDF or csv file) the Account Code Report.

Raw Data Download

The Raw Data Download is for getting details that are not in other reporting options. You can download the information to a csv format and manipulate it any way you need. You can build custom reports using this file.

Generate the Raw Data Download

  1. Select Reports
  2. Select Raw Data Download
  3. Enter the desired report date range.
  4. If you are looking for only a specific Payment Category (Fees & Activities combined, Activities, Fees or Meals) select it from the drop-down menu.
  5. Select one of the data downloads.
